Following a major Communications industry merger, the companies faced a pressing challenge to meet an ambitious end-of-year deadline to consolidate payroll and benefits systems and migrate over 13,000 employees from one company’s HR system to the other. This was essential to achieving substantial cost savings targets. Over 40 HR applications were involved, requiring careful management to determine which needed to be maintained, migrated, or decommissioned based on their future relevance to HR processes. DayBlink Consulting was tasked with leading this initiative, overseeing solution design, creating aligned program timelines, maintaining cybersecurity standards and developing detailed testing and organizational change management (OCM) plans. We successfully met all key deadlines, ensuring achievement of all cost savings targets.

PROBLEM

The client estimated that it would require 18 months to transition the HR systems of over 40 applications. Shortly after aligning to these timelines, a new directive required the entirety of the consolidation and migration to be completed before end of year (9 months) to contribute to a necessary cost savings metric. This collapsed timeline made it difficult to successfully test and implement.

SOLUTION

DayBlink Consulting supported the solution and implementation of an intermediary ‘Data Adapter’ that could be used to translate data between the two company’s HR systems. The creation of this Data Adapter enabled the companies to drastically reduce timelines, whilst also maintaining cybersecurity standards. We then helped redesign testing to be more efficient. Additionally, DayBlink developed comprehensive change management plans, ensuring smooth transitions and stakeholder awareness.

RESULT

Our solution ensured the timely migration of 13,000 employees and a seamless merger of HR systems, within 9 months. The client met the end-of-year deadline and achieved cost savings of over $1M per month. Additionally, the project streamlined manual processes, enhanced employee satisfaction and established the intermediary ‘Data Adapter’ to ensure smooth data translation and high data integrity. Our ongoing collaboration with the client leverages this robust framework for further HR and operational improvements, setting a new standard for future integrations and enabling additional automation and optimization initiatives. This successful migration and consolidation laid the groundwork for continued innovation and efficiency in the client’s HR operations.
